Information requested
The form asks only for your first name, email address, preferred date and number of people. No surname is needed. There are no fields for phone numbers, free-text messages, payments or other participants’ names. These four fields are required to use the form; you can also contact us directly. The system also processes the form language, submission date and time, and technical information needed for transmission and security.
Purposes and legal basis
We use the details to respond, check availability and arrange the tasting. The legal basis is steps taken at your request before entering into a contract and, if the booking is confirmed, performance of that contract (GDPR Article 6(1)(b)). We do not use form details for newsletters, advertising or commercial profiling. Any tax obligations are based on legal requirements (Article 6(1)(c)).
Recipients and providers
The form sends the request only to info@ugolequio.it so the winery can arrange visits. The form does not send copies to other addresses. Aruba provides the hosting and email services needed to receive and transmit the request.
Request retention
Request details and correspondence are retained to check availability, respond and arrange the visit, until the request and any follow-up relating to the visit are concluded. For unconfirmed requests, the criterion is the end of the availability discussion or cancellation of the visit request. Any further retention is limited to documents needed for specific legal obligations, for the period required by the applicable law, or to handle a dispute, until it is resolved and the applicable time limits expire. The website forwards the request by email and does not automatically delete correspondence from the mailbox.
Technical information and abuse prevention
The server receives IP addresses and normal connection details. The form uses pseudonymous codes derived from the IP address and request details, with timestamps, to limit abuse and duplicate requests. The antispam file does not store readable names, email addresses or plain IP addresses. These codes are pseudonymous, not anonymous. The purpose is website and email security, based on legitimate interests (Article 6(1)(f)), to be balanced against your rights. Default windows are 10 minutes for request frequency, one hour for send volume and 24 hours for duplicates and pending requests. The code allows configuration up to 24 hours for the first two controls and up to 7 days for the latter. The antispam file is cleaned during subsequent submission requests processed by the system: expired codes are not deleted by an independent timer and may remain in the file if no further submissions occur. These windows are not the retention periods for email or server logs.
Processing locations
We use Aruba for hosting and email. The provider states that it operates these services in its data centers in Italy. This statement concerns the provider’s infrastructure and does not describe any copies of correspondence on devices used to arrange visits.
Your rights
Where provided by the GDPR, you may request access, correction, erasure, restriction and portability of your data. You may object to processing based on legitimate interests on grounds relating to your situation. Contact info@ugolequio.it. You may complain to the Italian Garante per la protezione dei dati personali or your competent supervisory authority. The winery assesses bookings; we do not use solely automated decisions with legal or similarly significant effects.
Cookies, videos and external links
The new website code does not set cookies or store data in localStorage or sessionStorage. The opening video is selected randomly on each page load, without remembering earlier visits. Fonts, images and videos are hosted on the site; there are no embedded analytics, social pixels or maps. Google Maps, Instagram and other external sites open only when you follow their links and apply their own notices.
